Timing briefings to rota cycles, not calendar invites
All-staff emails land unevenly when half your workforce works nights or weekends. Sequence the message to when people actually gather.
Sponsors often schedule a single briefing at a convenient daytime hour and then wonder why night teams claim they were never told. In process adoption work, the communication calendar should follow rota cycles, not the project plan’s Gantt chart.
A simple sequence
- Sponsor note — why the change exists, in plain language.
- Manager clinic — how to answer the three hardest questions.
- Team huddles — short, repeated at each shift pattern for one week.
- Floor one-pager — left where the work happens, not only on the intranet.
A mild warning
If managers still cannot answer basic questions after the clinic, pause the team huddles. Pushing messages outward before the middle layer is ready creates rumour faster than clarity.
