Refunds, cancellations, and rescheduling

This policy applies to consulting engagements with NodeModule Advisory — readiness assessments, manager coaching clinics, communication rollout packages, and change adoption programmes. It does not cover physical products or retail delivery, which we do not sell.

Enquiry stage

Discovery calls and initial scope notes are complimentary. No payment is taken for submitting the website contact form.

Deposits and booking

Where a deposit is requested to reserve dates, the amount and due date appear in the written scope note. Deposits secure advisor time and preparation for your process materials.

Cancellation by you

• More than 10 working days before the first scheduled on-site day — deposit refunded in full, less any non-recoverable prep costs already agreed in writing (for example pre-booked travel).
• 5–10 working days before — 50% of the deposit may be retained to cover preparation already completed.
• Fewer than 5 working days before — deposit is non-refundable; completed preparation work may also be invoiced if listed in the scope note.

Rescheduling

You may request one reschedule without charge if notice is given at least 5 working days before the first on-site day and alternative dates are available within 60 days. Further reschedules may incur a reasonable administration fee stated in writing.

Cancellation by us

If we cancel an engagement for reasons within our control, you may choose a full refund of sums paid for undelivered work or new dates at no extra fee.

Work already started

Fees for days or deliverables already completed (listening sessions held, clinics delivered, materials issued) remain payable. Unused future days in a multi-week programme may be refunded or credited according to the scope note.

No-shows

If key participants fail to attend a booked clinic or on-site day without timely notice, that day is treated as delivered for fee purposes. We will discuss whether a catch-up session can be arranged at additional cost.

Materials

Custom briefing notes and floor materials prepared for your organisation are part of the engagement fee. They are not sold separately and are not returnable as physical goods.

Refund method and timing

Approved refunds are returned to the original payment method within 14 working days of written agreement. Contact hello@nodemodule-tools.digital or 079 2780 5586 for refund requests, quoting your scope note reference.

Exceptions

If a scope note states different cancellation terms for a specific multi-site programme, those written terms prevail for that engagement.
